If you already use Hubdoc, inspect how documents reach it before adding another receipt tool. Hubdoc supports email submission and uploads, and your email provider can forward matching messages automatically. Look for a specific remaining gap: documents that never arrive, incorrect fields, missing review, or an accounting handoff that needs attention.

Start With What Hubdoc Already Does
Hubdoc can receive documents through uploads and a dedicated email address. Xero's document intake guide also describes automatic forwarding rules set in your email program and creating documents from email-body content.
That matters when a supplier sends a receipt in the message rather than attaching a PDF. Test the relevant setting before concluding that your current tool cannot handle the format.
Review the destination and rules with the client. A forwarding rule aimed at the wrong organization creates a different problem from a rule that misses a supplier. Check both before extending the setup.
Separate Four Different Problems
Use a few known purchases to work out where the process fails:
- Collection: the supplier sent a document, but it never reached the document tool.
- Extraction: the document arrived, but a date, amount or other field needs correcting.
- Review: the fields are readable, but the business purpose, company or accounting treatment is unclear.
- Handoff: the document was reviewed, but the intended record or attachment is missing from the accounting system.
A new capture method may address collection without resolving the other three. Keep the diagnosis specific so you do not buy a second subscription for a problem that is really an incomplete rule or an unclear responsibility.
Test Your Existing Forwarding Rules
Select a familiar supplier, a new supplier and a body-only receipt. Confirm which messages are forwarded and whether they reach the right Hubdoc organization.
Check how the rule behaves when the subject changes or when a staff member forwards a message from a different address. Review any provider verification or organization restrictions that apply. Do not forward an entire mailbox simply because a targeted rule takes more thought.
If you use Dext, it also documents email forwarding rules. The same principle applies: establish what your configured workflow covers rather than treating all forwarding as manual.
Treat Historical Documents as a Separate Job
A rule for new arrivals does not establish that older documents have been collected. Define the backlog period and identify which purchases already have supporting files in your system.
For a few missing messages, search the source inbox and submit the documents through the existing route. For a larger backlog, compare the effort of that process with a historical extraction option.

Avoid Duplicate Accounting Exports
Hubdoc's Xero publishing documentation describes individual publishing and supplier automation. Inspect those settings before connecting another exporter.
Choose one system to create or update the accounting record for each test document. Keep the other collection route in a review-only role where possible. Confirm the record and source attachment in the ledger, not just a “sent” status in the collection tool.
Retain the records you need from the original system before ending a subscription. Do not assume a new tool will reproduce the old account's history, review notes and configuration automatically.
Compare the Cost of the Configured Workflow
Check your applicable Hubdoc or Xero terms and the quote for any additional service. Count setup, ongoing document volume, connection needs, historical scans and the review work that remains.
If Hubdoc already handles the client's sources and the remaining exceptions are manageable, keep the working setup. If a connected-inbox pilot addresses a measurable gap, use those results to decide whether to supplement or change it.
