Receipt management in real estate means tying every expense to the right listing, property, or owner as soon as it comes in, and keeping records your tax authority will accept. The hard part is rarely keeping receipts. It's sorting them when staging invoices, repair bills, and vendor payments arrive by email, text, and paper for several properties at once.
What you track, and who sees it, depends on your role:
Real estate agent | Property manager | Landlord | |
|---|---|---|---|
Typical expenses | Staging, listing photos, marketing, client entertainment, MLS and board fees | Repairs, maintenance, vendor invoices, reimbursable costs | Repairs, insurance, utilities, letting or management fees |
Sorted by | Listing | Property and owner | Property |
Records feed | Your own tax return | Owner statements and trust account records | Your own tax return |
What goes wrong | You can't see what a listing really cost | An expense lands on the wrong owner's statement | Receipts go missing until tax season |
The native way: spreadsheets and property management software
A spreadsheet
For an agent with a few listings or a landlord with one or two properties, a spreadsheet does the job:
- Create one tab per listing or property.
- Add columns for date, vendor, amount, tax, category, and a link to the receipt.
- Save each receipt to a matching folder in Google Drive or Dropbox, named by date, vendor, and amount.
- Update it weekly, not at tax time.
It gets hard to keep up once listings run into double digits or several people add expenses to the same file.
Built-in tools in property management software
If you manage a portfolio, your property management platform is the system of record: it posts each expense against a unit and rolls it into owner statements. Most now read vendor invoices with AI:
Platform | How invoices and receipts get in | Good to know |
|---|---|---|
AppFolio | Smart Bill Entry reads invoices vendors send to your account's dedicated email address, or files you drag in | PDFs only; reads the first page of each file |
Buildium | AI Bill Scan reads invoices emailed to your account's inbox or uploaded in a batch, then drafts the bill | Included with the Premium plan |
Yardi Breeze | Smart AP reads invoices vendors email to a designated inbox | Breeze Premier only |
Rentec Direct | AI invoice and receipt scanner reads a photo you take or a file you select | You verify the data before it posts |
Where these stop:
- They're built for vendor invoices sent to one inbox. Receipts for what your own team buys (a hardware store run, a card purchase, a parking ticket) sit in personal inboxes and phones until someone forwards or re-keys them.
- Some features depend on your plan or file type.
- Many agents and self-managing landlords don't use property management software at all. Their books live in Xero, QuickBooks, or a spreadsheet.
Where Receiptor AI fits
Receiptor AI is an AI agent that runs the receipt and invoice workflow before anything reaches your books:
- Collects documents from any email inbox (live or retroactively), from photos sent by WhatsApp or iMessage, and from uploads.
- Matches each document to the right business entity through its "Billed to" field, using the entity's name, aliases, and address (Business Entities, Growth plan and up).
- Checks each document: it flags duplicates and anomalies, asks you when context is missing, and learns how you categorize through Memories.
- Delivers to Xero or QuickBooks, to a Google Drive or Dropbox folder structure, as a CSV export, or by forwarding to another email address, such as your property management software's bill inbox.
If you're a real estate agent with several active listings
Your tax return only needs each expense substantiated and categorized. Tracking cost per listing is for you: it tells you whether your marketing spend pays off.
- Keep: date, vendor, amount, what it was for, and which listing. Driving to showings is often your biggest cost, so keep a trip log (date, destination, purpose, distance) alongside your receipts.
- Natively: one spreadsheet tab per listing, receipts in matching folders.
- With Receiptor AI: connect your inbox and add your phone as a mobile scanner, so a staging receipt is captured the moment you snap it. Documents are categorized to your chart of accounts, and you can label them by listing. If you work through a separate LLC or team, Business Entities keeps those documents apart.
If you're a property manager reporting to several owners
Every repair and vendor invoice has to reconcile against the right property on the right owner's statement.
- Security deposits: trust or escrow accounting follows state or provincial real estate licensing rules, not one national standard. Check your regulator's requirements, for example Oregon's trust account rules.
- Natively: send vendor invoices to your platform's bill inbox (AppFolio, Buildium, or Yardi Breeze Premier) and review the drafted bills.
- With Receiptor AI: set up one entity per owner or property LLC, with aliases and addresses. Connect the shared inbox, and invite maintenance coordinators as Guests so they can connect their own inboxes without seeing everything else. Documents arrive already matched and checked for duplicates, ready to export to your accounting system or forward to your platform.
If you're a landlord managing your own properties
The usual habit is snapping a photo and emailing it to yourself. "Later" is when receipts get lost or filed under the wrong property.
- Natively: a folder per property, or Rentec Direct's scanner if you already use it.
- With Receiptor AI: send the photo by WhatsApp or iMessage and it's extracted right away. If each property sits in its own LLC, Business Entities sorts documents per property. Retroactive extraction recovers receipts already buried in your inbox, and everything syncs to Xero or QuickBooks.
Region-specific rules worth knowing
Country | Rule | What it means for your records |
|---|---|---|
United States | The 1099-NEC and 1099-MISC threshold rises from $600 to $2,000 for payments made in 2026 | Fewer 1099s for small vendor payments; some states keep a lower threshold, so check both |
United Kingdom | Making Tax Digital for Income Tax applies from April 2026 to landlords with qualifying income above £50,000, then £30,000 (2027) and £20,000 (2028) | Digital records and quarterly updates to HMRC |
Australia | The ATO requires rental expense records to show supplier, amount, nature of the goods or services, and date | Keep them five years from 31 October, or from lodgment if later |
Canada | The CRA requires supporting documents for rental income and expenses reported on form T776 | Keep them at least six years |
Setting up receipt management for your real estate business
- List your entities: each property, LLC, or owner you report on separately.
- Decide where each document type goes: vendor invoices to your platform's bill inbox if it has one; everything else to Receiptor AI.
- Turn on Business Entities in Receiptor AI and add names, aliases, and addresses.
- Connect sources: inboxes for you and your team, and a mobile scanner for anyone buying on site.
- Pick a destination: Xero, QuickBooks, a cloud folder per entity, or CSV.
- Check the first week: review matches in the To Review tab, correct any misfiled document, and let Memories pick up the pattern.
